Greater Nashville REALTORS® Event Attendance & Refund Policy

By registering to participate in this event, you acknowledge and consent that Greater Nashville REALTORS® (and its assignees) may take photographs and/or video of you during the event and may use those photographs and recordings for the Association’s purposes, including but not limited to news, publicity, and promotional purposes, without further compensation to you. All such photos and videos are the sole property of the Association.

Professional recordings intended for commercial purposes without prior written authorization from Association CEO are strictly prohibited.

Greater Nashville REALTORS® is committed to creating a safe and inclusive experience for our community and providing a friendly and welcoming environment for all. Greater Nashville REALTORS® has adopted a zero-tolerance policy toward discrimination and all forms of unlawful harassment, including but not limited to sexual harassment, and other forms of behavior defined below. This zero-tolerance policy means that no form of unlawful discriminatory or harassing conduct by or towards any employee, member, vendor, or other person in our workplace, job sites, and/or events will be tolerated. Intimidating, threatening or excessively rude communication and actions toward Association staff is also specifically prohibited. The Association is committed to enforcing its policy at all levels within the Association. Any officer, director, appointed committee chair, manager, supervisor, member or employee who engages in prohibited discrimination or harassment will be subject to discipline, up to and including immediate discharge from employment or removal from leadership or membership for a first offense. 

Rationale

This policy ensures that Greater Nashville REALTORS® can provide the best possible experience for attendees. Guarantees are required from our venues and vendors several days before each event to ensure there is ample food, beverages, seating, and space for all participants. These guarantees cannot be reduced after the deadline, and the Association must pay for all reserved spaces whether they are used or not.

A significant number of staff hours are required to track registrations, process cancellations and refunds, and collect outstanding balances from no-shows or unpaid registration fees. This policy reduces unnecessary costs and ensures fairness for all attendees.

Cancellation & Attendance Policy

Cancellations:

  • Event registrations may be cancelled in writing via email or USPS mail up to two (2) weeks prior to the first day of the event, unless otherwise stated on the event registration form.
  • Written cancellations received prior to the cancellation deadline will result in a full refund to the registrant.
  • Cancellations received less than two (2) weeks prior to the first day of the event will result in forfeiture of the entire registration fee.
  • Phone cancellations will NOT be accepted.

No Refunds / No-Shows:

  • No refund will be given for functions not attended or for cancellations received after the deadline.
  • No-shows and/or non-payment do NOT constitute a cancellation.
  • Payment of any outstanding balances for previous events must be received prior to being confirmed for a current event.

Payment Requirements:

  • Payment must accompany registration or be received and verified at least two (2) weeks prior to the event to be considered a confirmed registrant.
  • You will not be confirmed as a registrant until your payment is received and verified.

Substitutions:

  • A substitute may be submitted to attend in place of the original registrant at any time prior to the event.
  • The original registrant must notify Greater Nashville REALTORS® staff of this change in writing via email or USPS mail at least five (5) business days prior to the event.
  • Substituted attendee names received by the five-business-day deadline will have a new name badge prepared for pickup at the onsite registration desk.
  • The registrant is responsible for arranging any reimbursement of the registration fee directly with the substitute attendee.
